Erasmus+ Call for Study Mobility 2025/2026

 

What is the Erasmus+ Program for Study?

The Erasmus+ Study Programme offers students the opportunity to spend a semester or academic year studying at one of our partner universities. This programme allows students to immerse themselves in a new culture, explore different higher education systems, enhance their foreign language skills, and meet students from around the world, with the guarantee of recognition of the study period abroad through the transfer of the respective credits within their career.

 

What are the planned activities abroad?

  • completion of a period of study and examination at the end of the teaching units attended (the period of study may also be integrated with a period of internship where provided by the didactic regulations);
  • preparation of the thesis research or a part of it on the basis of a work plan approved by the supervisor and the professor in charge at the host institution (including the assessment of the credits acquired abroad);
  • completion of activities planned within the framework of PhD programmes;

What are the requirements to participate?

Applicants must meet the following two criteria:

1. Must be a regularly enrolled student in a first, second, or third-cycle degree program at the University of Florence. Students enrolled in single courses are NOT eligible to participate. Part-time students must convert their enrollment to full-time status before departure.

2. Must possess knowledge of the language required by the Host Institution(s) indicated among the preferences

Please note: It is possible to participate in the Erasmus+ program during a Bachelor's degree and then depart during a Master's degree. However, enrollment in the Master's degree program must be confirmed before departure.

How to apply

You can apply only once a year during the opening of the Erasmus+ Call and exclusively through the online system by entering in with your registration number (Matricola) and password.

What is the duration of the mobility?

The mobility period must be a minimum of two months (60 days) and a maximum of twelve months (360 days). The physical duration must take place within the academic year following the publication of the Erasmus+ Call. It is possible to participate in both the Erasmus+ Study and Traineeship Calls, but the combined duration of both mobilities may not exceed twelve months per study cycle.

 Which universities can I choose?

The School of Engineering, in order to facilitate the choice of a foreign Institutions, has prepared a List of Agreements in which is available all the information regarding the partner universities where mobility can be carried out. 

Scholarship

Successful applicants will be awarded a scholarship. It is a financial support and is to be considered as a contribution to the increased expenses related to the stay abroad. The amount of the grant varies depending on the host country and will be paid out upon arrival at destination.

Erasmus+ students are required to continue paying their tuition fees to the University of Florence, even while studying abroad. They are exempt from paying tuition fees to the host institution. However, students may be required to pay certain fees for specific services, such as those used by local students at the host institution.


Application procedure

Student selection criteria

Students will be evaluated based on:

  • Academic Record
    1) Academic standing: Credits earned in relation to the year of enrollment (up to a maximum of 35 points):
    2) Academic performance:: Weighted average (up to a maximum of 35 points)

Note: for first-year Master's students, academic standing will be calculated based on credits earned in the Master's program (before the application deadline), while academic performance will be calculated based on the Bachelor's degree grade.

  • Language Skills:
    For each declared language, the highest-level certificate will be considered (up to a maximum of 15 points)

The following points will be awarded for each language level (the highest level will be considered if multiple certificates are provided for the same language):

Required language certificates are listed in the Erasmus+ mobility Call.

 

Students without a valid language certificate must register with the University Language Center (CLA) to book a test within the application deadline. When booking, students should mention that the test is for the Erasmus+ mobility Call application to facilitate the booking process.

 

It is possible to take language tests (to increase the level of an already certified language or to certify other languages) in order to increase the score (in any case, the total score for language skills is a maximum of 15 points).

 

  • Motivation
    Assessment of the coherence between:
    1) the motivation statement (to be written in English)
    2) the proposed study program (Preliminary Learning Agreement)

The motivation statement will be awarded a score from a minimum of 8 points to a maximum of 15 points. Please note: Applications that receive a motivation score below 8 points will not be considered.


Choice of Host Institutions

Each student may apply to a maximum of five foreign institutions and is required to submit a preliminary Learning Agreement for their first choice (although it is strongly recommended for the second choice as well). It is advisable to verify the compatibility of courses offered at all chosen institutions with your study plan.

Criteria for selecting Host Institutions

 

A list of partner institutions with which the School of Engineering has agreements can be found in the Excel document "List of Agreements". This document contains the following fields:

  • Country: Country of the partner university
  • Erasmus Code : Identification code of the partner university
  • University: Name of the partner university
  • Isced Code: This is the code of the disciplinary area in which the Erasmus+ program can be carried out. The student will be accepted by the foreign institution regardless of their course of study in Florence, but they will be able to follow courses almost exclusively within the disciplinary area of the ISCED code.
  • Description: Description of the ISCED code
  • University Homepage : Link to the homepage of the partner university
  • Course Link: Link to the list of courses available in the area of the agreement with the partner university.
  • Language requirements: Languages in which the courses of the partner university are taught.
  • Level: Level of the languages required by the partner universities
  • Type: This indicates the level of study accepted by the foreign institution (1 Bachelor's, 2 Master's, 3 Doctoral).
  • Number of places: Total number of students accepted by the partner university each year.
  • Agreement duration (in months): Number of months for which the agreement with the partner university is valid.
  • Turul Code: Identification code of the agreement.
  • Additional notes: Any additional notes, often constraints imposed by the partner university. In some cases, certain foreign institutions only accept students enrolled in a specific course of study at Unifi.

Notes on ISCED Codes

Each institution has an ISCED code that may be generic (identifying all engineering sectors) or specific (e.g., Mechanical Engineering, Computer Science, Energy, etc.). In the case of a specific code, it is only possible to choose exams from that specific sector, whereas in the case of a generic code, it is possible to choose exams from any sector. The ISCED codes typically associated with the engineering field are:

PLEASE NOTE: This does not mean that students enrolled in Computer Engineering must necessarily go to institutions with code 061. It simply means that the host institution primarily offers courses in that area, which all Erasmus students can attend regardless of their specific course of study at Unifi.

 

Select Suitable Host Institutions

When selecting host institutions, students are strongly encouraged to use the filters available in the Excel file List of Agreements. It is recommended to filter institutions based on the following fields:
- ISCED Code
- Required Language
- Type

 

Preparing the preliminary Learning Agreement

The outgoing student may choose to take compulsory exams required by their home study plan or elective exams.

To facilitate the search for suitable courses, an Excel file titled "Exams recognized in the last 4 years" Exams recognized in the last 4 years has been prepared, listing exams that have been validated in the last 4 years (elective exams are not included in this list).

However, it is advisable to verify the actual availability of the course on the individual institution's pages in the List of Agreements (field "Course Link").

If the student decides to take compulsory exams required by their home study plan during their Erasmus+ period, once they have selected the exams, they must request and obtain a completed and signed "Equivalence Form" Equivalence Form from their relevant UNIFI professor. When requesting equivalence, it is necessary to send the syllabus of the foreign course to the professors so that they can evaluate the content

Please note: It is necessary to request equivalence from the UNIFI professor even if it has been granted in previous years.

The equivalence form is not required for free choice exams.

Erasmus Delegates are available to give advice on the choice of examinations only once an initial selection has been made.. In countries participating in the Erasmus+ program, the number of credits for each course is generally expressed in ECTS (European Credit Transfer System), where 1 ECTS is equivalent to 1 CFU.

Maximum/Minimum ECTS Credits that can be acquired during Erasmus mobility.

The School of Engineering sets the maximum number of credits that can be acquired abroad at 60 ECTS per year (30 ECTS per semester). To maintain the scholarship, a minimum of 2 ECTS for each month of mobility, must be acquired abroad. However, the host institution may require a higher minimum number of credits (e.g., 20, 25, or 30 ECTS per semester).

 

Summary of materials to submit the application

  • Certification of proficiency in one or more languages
  • Motivation letter (to be written in English)
  • Selection of 5 host institutions for the mobility
  • Selection of all exams for the first chosen host institution (preliminary learning agreement) based on equivalences received from professors (equivalences must be obtained before the application deadline)
  • Selection of the duration of the mobility and the semester

 

The Erasmus+ Call for study mobility

Once all the necessary materials have been gathered, students can proceed to submit their mobility application through the Turul application, following the registration terms and conditions.

How to submit your application

    • Log in
    • Go to "Register for a competition" and search for "School of Engineering - Erasmus for Study" and click "Register".
    • Languages section: Enter the required information about your certified language proficiency (you can add more than one language). You can add more languages by returning to the "Languages" section. If you have taken a CLA test, you can only enter the language after taking the test. Note: the system may have already recorded your language proficiency data.
    • Motivation: Enter your motivation (in English).
    • Degree: You only need to complete this section if you are enrolled in the first year of a Master's program or a third-level course (PhD). If your Bachelor's degree was obtained at Unifi, only enter the Matricola number of your last degree. If your Bachelor's degree was NOT obtained at Unifi, you must enter all the necessary data of your Bachelor's degree.
    • Declarations: accept the declarations.
    • Previous experiences: complete the field of previous Erasmus experiences only if you have participated in them.
    • Host institution selection: In the section for selecting the 5 host institutions, they are listed in order of preference, so the first one is commonly called the "first choice". Please note: some institutions may have multiple links depending on the sector, carefully choose the link based on the correct ISCED code.
    • Register for the Erasmus+ Call: If everything is correct, check "I have checked the data entered" and click "Register for the competition".
    • Click on "fill in the form" (to complete the preliminary learning agreement)
    • Complete the learning agreement for the first choice.
    • Indicate how many months the mobility will last (usually coincides with the duration of the months of the agreement) and select the semester.
    • Enter exams: You must enter the exams, indicating the information on the exam at Unifi and the foreign exam based on the equivalences received. NB: The "Course" field must include the exam code and the name of the Unifi exam. In the case of free choices, indicate as Unifi Course "elective exam" and as foreign exam the code and name of the foreign exam. Repeat this procedure for each exam.

Please note: Once you have completed the application submission on Turul, please send the equivalence forms to international@ingegneria.unifi.it".

  • Close the application

Publication of eligible students lists and acceptance of the Host Institution

The complete ranking lists with merit scores, host institution, and number of proposed months will be published on the Turul application.

All selection operations, including ranking lists and any subsequent adjustments, will be available to students on the "your competitions" page.

Students will not receive personal communications and it is their responsibility to check the results, timelines, and deadlines.

To view the assigned host institution, students must log in to the Turul application within the deadlines that will be indicated on the "I tuoi concorsi" page and proceed as follows:

  • If the host institution indicated as the first preference in the application is assigned, the student must obligatorily accept the assigned host institution. (Note: Students who do not accept the host institution indicated as their first preference are automatically excluded from the ranking list as having withdrawn from the Erasmus+ study mobility).
  • If a host institution other than the first preference is assigned, the student must obligatorily choose one of the following two options:
    1. Accept the proposed host institution.
    2. If the student does not wish to accept the proposed host institution, select the option "I want to remain on the ranking list" awaiting a possible new assignment through a subsequent adjustment. The host institution not accepted by the student will not be reassigned to him/her in any subsequent adjustments.

Please note: Each candidate, to accept or reject the assigned host institution during the first ranking list or in any subsequent adjustments, will have 3 working days (including the day of publication and the day of closing the acceptance/rejection of the assigned host institution) from the publication of the ranking list/adjustment. It is recommended to check the “i tuoi concorsi” page on Turul frequently.

Please note: When accepting the host institution, each student is required to indicate the duration of their mobility in months (which corresponds to the number of months of the agreement). The number of months of mobility indicated by each student when accepting the host institution on Turul is binding for the calculation of the months of the grant assigned to the candidate.

 

Please note: The expected departure date, also to be indicated on Turul when accepting the host institution, is indicative and may be modified later (at the time of signing the financial contract).

Before Departure

Eligible students are invited to contact the International Relations Office of the School of Engineering for personalized support.

Before departure, the student must:

  • Submit the application form as per the instructions received by email from the host institution.
  • Complete the Online Learning Agreement on GCS : before departure, the Learning Agreement must be completed and submitted for approval to UNIFI and the host institution. Each student must access their personal page on the Student Career Management System (GCS) using their credentials. The Online Learning Agreement must indicate both the activities to be carried out abroad and the corresponding activities at the University of Florence that will be recognized upon the student's return from the mobility period. Please contact the International Relations Office for assistance with completion.
  • Sign the financial contract: each student will receive instructions on how to complete and sign the contract at their institutional email address and must send it to outgoing.erasmus@unifi.it before departure. For more information on mobility funding, please consult part 5 of the official Erasmus+ Call for applications.

During Mobility

Notes about the scholarship

Once the student certifies their arrival at the host institution (with a certificate signed by the host institution), an initial payment will be made, corresponding to the number of months of stay (except for the last month), followed by a subsequent payment at the end of the mobility period, to settle the account taking into account the actual days of stay.


Once the student has arrived at the host institution, they must comply with the following deadlines:

  • Within 7 days of the start of the mobility, certify the start date of the mobility by means of the "attendance certificate". This form must be completed, signed, and stamped by the International Relations Office of the host institution and sent by the student to outgoing.erasmus@unifi.it.
  • Within 30 days of the start of classes, the student may request any changes to the Learning Agreement (to be made on GCS - Student Career Management). It is possible to make up to one modification per semester. A common reason for requesting a modification of the Learning Agreement is the discrepancy between the student's expectations regarding the content of a particular course and what is actually offered, as well as the possible overlap of class schedules.
  • By the end of the Mobility : any request to extend the mobility must be authorized by the International Relations Office of the host institution and the School of Engineering of Unifi.
    Please note: the grant may not be extended.
  • At the end of the Erasmus period and before returning : request that the host institution complete and sign the Attendance Certificate with the end date of the mobility.

Upon Return from Mobility

Once the student has returned to Italy, they must comply with the following deadlines:

  • Within 15 days of the end of the Erasmus period : Send the Attendance Certificate. This form must be completed, signed, and stamped by the International Relations Office of the host institution and sent by the student to outgoing.erasmus@unifi.it.
  • At the end of the Erasmus period and before requesting recognition of the activities carried out: the student must use GCS to upload the Transcript of Records (certificate received from the host institution with the list of exams passed) and/or the certification of thesis/internship work.
  • Within 45 days of submitting all documentation: the student must contact the International Relations Office of the School of Engineering for the credit validation procedure of the activities carried out abroad.
  • At the end of the Erasmus period: the student must complete the EU Survey questionnaire. The student will receive an automatic email invitation to complete the survey directly from the EU platform.
